Understanding Statistics in the Board Portal

The Board Portal provides activity indicators to help you measure how your group is engaging with the platform. These indicators are automatically calculated and updated in real time.


Period of Calculation

All statistics are calculated for two timeframes:

  • Current Month → from the 1st day of the month until today.
  • Last 3 Months → from today going back 3 months.

For example: if you consult the statistics on August 20, the “last 3 months” data will cover the period from May 20 to August 20.


Key Indicators Explained

  • User Logins: percentage of users who logged in at least once during the period.
  • Meetings Held: number of meetings organized in the period.
  • Meeting Attendance: presence rate of invited participants (both physical and remote).
  • Meeting-Related Content: includes documents uploaded to a meeting and surveys linked to it.
    If fewer items appear than expected, check:
    • Whether documents were linked to the meeting (not only uploaded in the Documents module).
    • Whether the upload happened inside the 3-month window.
  • Documents Viewed: compares documents viewed in the period against all documents available in the group.
  • Notes Created: counts notes taken by users.
  • Contents Added: measures new contents created (meetings, meeting documents, announcements, documents, polls, surveys).

Important to Know

  • Statistics are rolling for the 3-month view (not reset quarterly).
  • A document only counts as “Meeting-related content” if it is uploaded inside a meeting. Uploading it in the Documents module will not be included.

FAQ: Board Portal Statistics

1. Are the percentages based on the last 3 months or the last month?

Both views exist:

  • Current month (1st to today).
  • Last 3 months (today minus 3 months).

2. From when exactly are the “last 3 months” calculated?

They are rolling months. For example, if today is August 20, the system looks back to May 20.

3. Why does “Content related to meetings” show fewer documents than expected?

This indicator only counts:

  • Documents uploaded directly inside a meeting.
  • Surveys associated with that meeting.

Documents uploaded outside the meeting (e.g., in the Documents section) are not included.

4. A client uploaded several meeting documents in the last 3 months, but the stat shows only 1. Why?

Possible reasons:

  • Some documents were uploaded outside the meeting.
  • Some uploads happened before the 3-month window.
  • The documents were uploaded as general content and not properly linked to the meeting.

Tip: If after checking these points the numbers still look incorrect, please contact Customer Care with the meeting date and document name so we can investigate.
