Many teams keep their working documents in Microsoft SharePoint and would like them to appear in the Board Portal Documentation Center. This article explains what is possible today and how to automate transfers.
Short answer: there is no automatic synchronization between SharePoint and the Documentation Center. You can add documents by hand, or have a developer build a custom connection with the DiliTrust API.
✋ Who can do what
- Administrators and authorized users add documents to the Documentation Center by hand.
- A developer on your team can build a custom connection between SharePoint and Board Portal with the DiliTrust API. Your team builds and maintains it.
✍ Administrators and authorized users: add documents by hand
- Open the Documentation tab.
- Open the folder where the document should go.
- Drag and drop the file, or use the upload option.
Without a custom connection, moving documents between SharePoint and the Documentation Center is always a manual step.
⚡ Developers: automate transfers with the DiliTrust API
The DiliTrust Board Portal API lets an application:
- upload documents to Board Portal;
- list the documents already in Board Portal;
- download a document;
- create and retrieve folders.
Combined with SharePoint's own APIs, this lets your team copy documents from SharePoint to the Documentation Center, and back, on the schedule you choose. Technical details and examples: DiliTrust Board Portal API – Documents.
Using the API requires API credentials and development resources. It is not a setting you can turn on in Board Portal.
⛔ Limitations
- There is no automatic SharePoint synchronization, in either direction.
- The native integrations of Board Portal are the Microsoft Teams app and the Microsoft Outlook add-in. Neither synchronizes documents with SharePoint.
- The API provides the building blocks, but your team must design and maintain the synchronization logic, scheduling and conflict handling.
❓ FAQ
Will a folder I create in SharePoint appear automatically in the Documentation Center?
No. Add the documents by hand, or build a custom connection with the API.
Can transfers go both ways?
Not natively. With a custom API connection, your team can move documents in both directions.
