The "Documentation" tab contains all the files and documents that the administrator wishes to make available to users, whether related to meetings or not. You can therefore create the tree architecture of your choice according to your preferences.
It also contains folders called "Smart Folders" which give you quick access to a number of options (your favorite documents, recent documents or documents awaiting signature).
Once in the documentation, the folder tree is on the left-hand side of the page.
Several actions are possible in this document center
- Add a new folder
To add a new folder to the root, simply click on the folder bearing the name of your instance and click on the "Add new folder" button, or right-click on the folder. This will allow you to name the folder according to your preferences.
Good to know: You can also add subfolders. To do this, click on the relevant folder and follow the same procedure as for adding a new root folder.
- Rename a folder
To rename a folder, either click on the "pencil" logo or right-click on the folder concerned.
- Managing permissions of the users
To manage permissions, as an administrator, you can click on the padlock logo. By clicking on it, you can manage permissions for the selected folder.
Two options are available for adding or removing access rights (concerning access, downloading, printing and watermarking):
- Everyone, except…
- Nobody, except…
Once you've chosen your preference, you can select the users or teams concerned.
- Delete a folder
To delete a folder, the manager must select the folder to be deleted and click on the corresponding button. A pop-up window will appear, asking you to confirm the deletion.
It is important to know that if you confirm the deletion, the documents contained in the deleted folder, as well as their notes, are definitively lost.
- Upload a ZIP
Thanks to this function, located in the three small dots in your options on the left of your documentation center, you can import a ZIP, and this ZIP will directly take the form you've defined internally.
- The Trash
The trash is located in the three small dots in your options on the left of your documentation center.
It refocuses deleted documents, which will be permanently deleted after 30 days. However, they can be restored to their original folder if it has not been deleted.
- Quick search
You can use the search bar to find specific documents or folders.
- Notify
You can notify users of the availability of certain documents by ticking one or more documents and then clicking on "Notify" in the top right-hand corner. A window appears to select the users to be notified.
