Access Meetings

To access meetings, click on the "Meetings" tab on the left of the screen. In this section, you will have access to upcoming and past meetings as a User and Published and Unpublished meetings as an Admin.


Meetings are sorted out by years. Upcoming meetings are displayed in a chronological order. Archived meetings are in the "Archives" tab. It is up to the Admin to decide when to archive a meeting.



Administrators also have access to “Unpublished” meetings tab, which are meetings that they have set up but have not published yet for other users to see.




To access a meeting (either Published or Unpublished), its agenda and documents, click on "See agenda" of the desired meeting.




You will be redirected to a page summarizing all the information such as the title, the date, the time and the location of the meeting as well all agenda builder and its content.



By clicking on “Download all documents”, you can download all documents of this meeting on your computer.


The “Generate meeting bundle” allows you to create a PDF file with all points of the agenda and their attached documents.




As an administrator, you can also view statistics (who accessed the meeting and its attachments), hide or show documents, and add a resolution by clicking on the three dots on the side. Users will only be able to hide or show documents. 


To go back to upcoming meetings, select "Published meetings" at the top left.


Agenda builder


When you hover over agenda items (categories or attached documents), several options and action icons are available. They're located on the far-right of the agenda item: 


As a user, the only action icons displayed are related to the attached documents:

  • Open, to view the document. 
  • Mark as favorite, to highlight it for easy access later.
  • View summary, to get an AI-generated summary of the document's content. Please not that this feature is not yet available to all admins. If you wish to acquire this feature, please discuss it with your account manager.


Additionally, there are more options available by clicking on the three dots icon:

  • Mark as read
  • Download the document



As an Admin, the following action icons will be displayed regarding the attached documents as well as the agenda builder: 


Agenda:

  • Add a category (Read more here)
  • Add a document (Read more here)
  • Add a task (Read more here)
  • Delete the category (deleting a category will also delete its sub rows)


Additionally, there are more options available by clicking on the three dots icon:

  • Create a vote associated with this category (Read more here)
  • Add a questionnaire (Read more here)
  • Remove numbering (reversible)


 


As an Admin, you can also manage permissions on attached documents, to adjust who can view or edit the document, hover over the attached document and click on the lock symbol icon on the far-left.



A pop-up will appear where you can manage the permissions for the document, including access, printing, downloading and watermark settings. These adjustments will apply not only to the attached document in the meeting but also when accessing the document from the Documentation section.




Attendance

The Attendance button allows administrators (or quorum) to know which users will attend the meeting.
