Understand the Roles : Administrators & Users

Assigned by the company when the user is created, the role determines the features to which the user will have access.

For example, deleting a user is a feature reserved for platform "Administrators”.  


There are 2 roles on the platform:

  • User: Can only access, read and download documents, annotate and vote.
  • Administrator: Can edit the homepage logo, add/delete members, set up meetings, add/delete documents, vote, manage KPIs, manage permissions and security settings, etc.

 

The “User management” tab contains a list of all instance users. This is where you create your users.


Good to know: When you want to add a new user, you will see a sign next to it indicating the number of seats remaining on your platform. If you have several instances, you can ask the DiliTrust Support team to modify the seats in each of your instances. But if you want to add more, don't hesitate to contact your sales representative or account manager.

  • How do you give users the right role?

Administrator: This role is mainly used by secretaries and other administrative positions. To assign this role to a user, simply click on “role” when creating the user, and then click on “Administrator”.


User: The user role is mainly used for instance members. To assign this role, simply click on “None” when creating it.


  • How do you give them access to the platform?

In order for users to access the instance and create their password, an invitation must be sent to them. To invite a single user, click on the “Envelope” button. 


To invite several users, select them and click on the “Invite” button in the top right-hand corner. Once the invitation has been sent, the user will receive an e-mail containing a link (single-use and valid for 24 hours) that will take them to their profile.


Good to know: Note that once a new user has created a password and logged in for the first time, the icon will turn into a bell, allowing you to resend a link allowing the user to reset his/her password if the user forgets it.
